Job Overview:
We are seeking a friendly and organized Patient Coordinator I to be the first point of contact for patients, either in person or via the call center. The ideal candidate will verify and update patient information, confirm insurance details, and ensure a smooth and positive experience for patients. This role requires excellent communication skills, attention to detail, and the ability to manage patient interactions with empathy and professionalism.
Primary Responsibilities:
Greet patients in person or over the phone, verify and update insurance and demographic information in the practice management system.
Confirm that the physician accepts the patient’s insurance; if not already confirmed, verify insurance prior to or upon patient arrival.
Communicate patient arrivals to appropriate staff and ensure that medical records are accessible for the physician.
Process HIPAA-related paperwork and other institutional forms as needed.
Collect referrals or insurance authorizations and ensure compliance with insurance requirements.
Monitor waiting room status, update patients on wait times, and maintain a welcoming environment.
Collect co-pays as directed by billing staff, following cash-control procedures, and provide patients with receipts.
Schedule follow-up appointments as needed and provide guidance on requesting medical records if necessary.
Handle basic charge entry tasks, enter collected payments, and prepare deposits as required.
Answer calls, schedule appointments, and handle patient inquiries.
Follow all HIPAA and state agency guidelines for handling patient health information.
Place reminder calls for next-day appointments when needed.
Perform other related administrative duties as assigned.
Work Environment:
This position requires manual dexterity for chart handling and office equipment use, including a computer keyboard and calculator. Physical activities may include stooping, bending, sitting, standing, and moving around for extended periods, with the ability to navigate the waiting room area to assist patients.
Qualifications:
Experience: Minimum of 1 year in a physician practice or medical office setting; experience with IDX or other practice management systems preferred.
Skills: Proficient in keyboarding and computer use; Epic EMR experience preferred. Must demonstrate effective communication and interpersonal skills with a strong telephone etiquette. Knowledge of medical terminology is strongly preferred.
Education: High School diploma or GED required.
Additional: Ability to effectively communicate with a diverse patient population, including those with language barriers. Must be adaptable to a dynamic and evolving work environment.
Schedule:
Hours: 37.5 hours per week, Monday through Friday, 8:30 AM - 4:30 PM.
