Job Title: Administrative Coordinator

Location: New York, NY 
Schedule: Monday–Friday | 8:00 AM – 4:00 PM
Hours: 37.5 per week


Job Overview

"Navitas Healthcare, LLC" is seeking an experienced Administrative Coordinator to manage administrative, office, HR, payroll, and operational support functions for a healthcare department within a fast-paced hospital environment.


Key Responsibilities

  • Handle administrative and office support activities including purchasing, payroll, and records control

  • Respond to routine inquiries and route requests to appropriate departments

  • Assist with budget monitoring and grant allocation tracking

  • Prepare and process HR and payroll transactions, including weekly payroll submissions

  • Coordinate with HR and payroll teams to resolve issues

  • Manage office supplies, inventory, and vendor coordination

  • Track vendor contracts and assist with renewals

  • Support planning and logistics for meetings, conferences, and events

  • Prepare meeting materials, reports, and statistical summaries

  • Compile and organize data for departmental reporting

  • Assist with grant applications and survey preparation (e.g., JCAHO)

  • Supervise and mentor administrative support staff (1–2 reports)

  • Assign tasks and manage office workflow and deadlines

  • Ensure quality, accuracy, and compliance in administrative operations


Requirements

  • Bachelor’s degree or equivalent experience

  • Minimum 5 years of administrative/business experience

  • Intermediate MS Office skills required

  • Prior supervisory experience preferred

  • Strong communication, organization, and time management skills

  • Ability to manage multiple priorities in a healthcare environment

  • Hospital/administrative office setting

  • High-volume healthcare department support role

  • Requires attention to detail, confidentiality, and coordination across teams
