Job Title: Bilingual International Administrative Coordinator

Location: Bolingbrook, IL
Duration: 3+ Month Contract
Pay Rate: $24/hour (W2)


Position Overview

Seeking a highly organized and detail-oriented Bilingual Administrative Coordinator to support international operations through project coordination, executive support, and cross-functional communication. This role requires the ability to manage multiple priorities, collaborate with global stakeholders across time zones, and ensure timely and accurate execution of projects.


Key Responsibilities

Administrative Support

  • Manage executive and team calendars, schedule meetings, and prepare agendas

  • Coordinate domestic and international travel arrangements

  • Ensure timely communication, follow-up, and completion of action items

  • Maintain professionalism, confidentiality, and accuracy in all administrative functions

Project Planning & Coordination

  • Support cross-functional and international projects by maintaining project plans, schedules, and timelines

  • Utilize tools such as SharePoint, Monday.com, or Smartsheet to track deliverables

  • Monitor project milestones, dependencies, and risks; escalate issues as needed

  • Partner with global stakeholders to ensure alignment and on-time execution

Documentation & Reporting

  • Maintain centralized documentation repositories with proper version control

  • Prepare, edit, and format professional reports, presentations, and meeting summaries

  • Track open issues, action items, and project risks

Communication & Collaboration

  • Act as liaison between international and cross-functional teams

  • Facilitate clear and consistent communication across departments

  • Foster a positive, collaborative, and solution-oriented team environment


Qualifications

  • Minimum 2+ years of experience in project coordination or project management

  • Minimum 2+ years of experience supporting multiple leaders with scheduling, calendar management, and travel coordination

  • Experience using SharePoint, Monday.com, and/or Smartsheet

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

  • Strong written and verbal communication skills with excellent editing and formatting abilities

  • Highly organized, adaptable, and detail-oriented

  • Ability to manage multiple priorities independently and collaboratively

  • Professional demeanor with a positive attitude

Preferred:

  • Bilingual proficiency (written and verbal), based on business needs
