Position: HRIS Specialist

Location: San Bernardino, CA
Duration: 12 Months (Contract, with Possible Extension)


Position Overview

The HRIS Specialist supports and administers enterprise Human Resources Information Systems, ensuring data integrity, system reliability, and effective use of HR technologies. This role partners closely with HR, IT, and leadership teams to enhance system functionality, streamline processes, and deliver actionable workforce insights through reporting and analytics.


Key Responsibilities

HRIS System Administration & Support (30%)

  • Serve as the primary point of contact for HR system issues, enhancements, and end-user support

  • Manage daily operations of enterprise HR systems, including HRIS, Learning Management Systems (LMS), and related platforms

  • Ensure system security, access permissions, and data integrity

  • Coordinate system testing, upgrades, integrations, and troubleshooting activities

  • Conduct system audits and manage evaluation or performance-related programs

  • Develop and deliver user training materials and system documentation


Process Improvement & Automation (20%)

  • Identify operational inefficiencies and recommend workflow improvements

  • Lead HR e-form and workflow automation initiatives using electronic signature and document management tools

  • Collaborate with HR and IT teams to integrate systems and streamline document handling

  • Measure effectiveness of automation efforts and recommend enhancements


Data Management, Reporting & Analytics (20%)

  • Develop and maintain HR reports, dashboards, and data extracts using reporting tools, SQL, and analytics platforms

  • Conduct data audits and ensure compliance with confidentiality and security requirements

  • Provide workforce insights related to retention, engagement, diversity, equity, inclusion, and workforce planning

  • Define and maintain key performance indicators (KPIs) and HR metrics for leadership


System Implementation & Project Management (15%)

  • Lead or support HRIS and third-party system implementations

  • Develop project plans, manage milestones, and support user acceptance testing (UAT)

  • Partner with IT and enterprise stakeholders on system-wide initiatives


Change Management, Communication & Training (10%)

  • Develop strategies to support adoption of new systems and enhancements

  • Create communication materials, training guides, and conduct knowledge-sharing sessions

  • Promote best practices and build user confidence in HR systems


Other Duties (5%)

  • Perform additional related duties as assigned

  • Complete required organizational training


Education & Experience

  • Equivalent to a Bachelor’s degree in a related field and two (2) years of relevant professional experience

  • Additional qualifying experience may substitute for education on a year-for-year basis

  • An advanced degree in a related field may substitute for required experience on a year-for-year basis


Required Skills, Knowledge, and Abilities

  • Working knowledge of human resources principles, practices, and applicable regulations

  • Experience developing and implementing HR standards, policies, and procedures

  • Strong project planning and organizational skills with the ability to manage multiple initiatives

  • Strong analytical skills to interpret data and develop sound conclusions and recommendations

  • Excellent communication and interpersonal skills to advise managers, staff, and stakeholders


Preferred Qualifications

  • Experience with HR data analytics and workforce metrics reporting

  • Proficiency with HRIS, LMS, performance management, recruitment, document management, and reporting tools

  • Familiarity with enterprise workflow, ticketing, and analytics platforms

  • Ability to work collaboratively within diverse and multicultural environments

  • Excellent written and verbal communication skills with strong attention to detail

  • Proven ability to interpret and apply policies and procedures accurately

  • Demonstrated commitment to confidentiality and data privacy

  • Strong organizational and time management skills with the ability to work independently

  • Ability to quickly learn enterprise systems, infrastructure, and processes

  • Flexible, proactive problem-solver with strong judgment and initiative

  • Experience in institutional or educational environments with a customer-service mindset
