Title: Administrative Assistant V

Shift: 7:00 AM – 3:30 PM
The tasks listed below represent typical responsibilities and are not all-inclusive.
Note: This position involves regular physical activity, including handling racks and shelves and assisting with storage space optimization. Must be able to consistently lift 40–50 pounds.
Communicate and coordinate the use of department vehicles and mobile resources; ensure mobile clinics and vehicles operate safely by planning, scheduling, and coordinating routine and preventative maintenance, repairs, and cleaning.
Apply critical-thinking skills to troubleshoot issues, make adjustments, and communicate changes with little to no notice.
Perform routine safety checks on vehicles, identify maintenance needs, submit work orders, and help maintain appropriate fuel levels in specialized vehicles.
Create, update, and maintain complex spreadsheets, databases, monthly inspections, vehicle logs, fuel logs, and other fleet documents; compile and analyze data for reporting.
Learn and assist with process development related to the implementation of a new asset management system.
Use OnBase to purchase office supplies, first aid materials, AED parts, AMS software/hardware, and other program needs.
Assist with warehouse surveys, inventory assessments, and monthly/annual inventory audits.
Support management of the AED program, including device inspections, repairs, replacements, and ordering.
Perform additional duties as assigned.
Ability to obtain a valid Arizona driver’s license by time of hire.
Experience coordinating multiple projects and understanding project management concepts.
Basic math skills.
Intermediate proficiency in Microsoft Office.
Experience with agency-specific or specialized software applications.
Strong written and verbal communication skills.
Ability to gather, integrate, and analyze basic data.
Ability to establish and maintain effective working relationships.
Ability to maintain confidentiality and navigate sensitive or politically nuanced situations.
Adaptability to new concepts and evolving projects.
Experience coordinating shared equipment across multiple programs/offices.
Experience writing operational procedures and developing/delivering training in person, online, and in telework environments.
Experience overseeing vehicle maintenance and familiarity with mobile health units or recreational vehicles.
Experience using Asset Management Software.
Experience managing projects of any type, including documenting processes and timelines.
Experience surveying materials and supplies.
Data collection and analysis experience; ability to present findings clearly for process-improvement initiatives.
