Job Title: Patient Coordinator I

Rate: $21/hr (W2)
A healthcare facility in New York is seeking a Patient Coordinator I to serve as the first point of contact for patients, either in person or via phone. The Patient Coordinator is responsible for greeting patients, verifying insurance, updating demographic information, and supporting front-desk operations. Client name is intentionally omitted for confidentiality.
Greet patients in person or over the phone; update insurance and demographic information in the practice management system.
Verify insurance coverage to ensure the physician accepts the patient’s plan.
Communicate patient arrival to appropriate staff and ensure medical records are ready for use.
Process and update HIPAA forms and other required documentation.
Collect referrals or insurance authorizations as needed.
Monitor waiting room activity and keep patients informed of wait times.
Collect co-pays per billing staff direction and issue receipts per cash-control procedures.
Schedule follow-up appointments and provide instructions for requesting medical records.
Perform simple charge entry tasks or handle patient payments and prepare Cashier’s deposit (not both — duties are mutually exclusive).
Answer phones, schedule appointments, and route messages appropriately.
Adhere to HIPAA guidelines and state/federal regulations concerning PHI.
Make reminder phone calls for next-day appointments when required.
Minimum 1 year of physician practice experience.
One week of on-site training required (provided by the facility).
Experience using computer systems for scheduling in a medical office setting preferred.
Strong keyboarding skills.
IDX or other practice management system experience preferred.
Ability to communicate effectively with multicultural and limited-English-proficiency patients.
Excellent interpersonal and communication skills, including strong telephone etiquette.
Knowledge of medical terminology strongly preferred.
Ability to adapt to a fast-paced, evolving environment.
High School Diploma or GED required.
