Job Title: Healthcare Administrative Assistant
Duration: 3+ Months
Locations: MULTIPLE LOCATIONS [New York – Bronx, Brooklyn, Queens, Manhattan]
Shifts: Day Shift

Pay Rate: $20–$21 per hour


Summary

The Healthcare Administrative Assistant provides advanced administrative, operational, and project support to ensure efficient departmental functioning. Responsibilities include financial tracking, reporting, logistics coordination, HR-related transactions, and acting as a liaison across internal and external stakeholders. This role requires strong organizational skills, accuracy, and the ability to manage multiple priorities in a fast-paced healthcare environment.


Duties & Responsibilities

Patient Support (If Applicable)

  • Schedule patient appointments and referrals for testing or physician visits.

  • Maintain patient billing records for submission.

Reporting, Data Management & Financial Support

  • Research, compile, and organize information for departmental reports.

  • Assemble data and prepare statistical reports.

  • Prepare and monitor budgets and grant allocations; maintain accruals.

  • Prepare financial documents required to maintain balanced accounts.

Human Resources & Payroll Coordination

  • Maintain departmental employee files and ensure regulatory compliance.

  • Initiate and follow through on HR and payroll transactions.

  • Generate weekly payroll submissions and resolve related issues.

Event, Meeting & Project Coordination

  • Assist with planning and logistics for forums, conferences, seminars, meetings, and similar events.

  • Develop and distribute informational packets for participants.

  • Transcribe, prepare, and distribute meeting minutes.

  • Investigate, evaluate, and resolve administrative or operational issues.

Administrative Support

  • Review materials submitted for supervisor approval to ensure accuracy and completeness.

  • Screen and prioritize incoming mail; respond or redirect as needed.

  • Screen telephone calls, provide information, and direct callers appropriately.

  • Arrange travel and prepare expense reports when required.

  • Participate in grant application processes, special projects, and regulatory survey preparations.

Supply Chain, Purchasing & Vendor Management

  • Maintain adequate inventory and perform supply checks.

  • Requisition merchandise and collaborate with Purchasing to secure best pricing.

  • Track vendor contract expiration dates and process renewals.


Skills & Competencies

  • Experience: 4+ years administrative or business operations experience in a healthcare setting.

  • Technical: Intermediate proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
