Job Title: Administrative Assistant

Location: Phoenix, AZ 85012

Duration: 7 Months

Position Summary:

We are seeking a dependable Administrative Assistant to provide essential administrative, clerical, and scheduling support to the grants and contract team. The ideal candidate will be highly organized, proficient in Microsoft Office 365, and capable of managing and maintaining SharePoint sites, data entry, and reporting functions. This role supports the efficient operation of the office, ensuring accurate documentation, scheduling, and coordination of activities.

Responsibilities:

  • Maintain calendars, schedule meetings, prepare agendas, and provide logistical support for internal and external meetings.

  • Manage and improve the SharePoint site, including page updates, file organization, naming conventions, and archiving.

  • Assist with data entry, report preparation, and documentation related to grants and contracts.

  • Coordinate in-state and out-of-state travel arrangements for supervisors and managers.

  • Track office supplies and assets; order supplies and manage inventory.

  • Support grant and contract administrators with typing contracts and coordinating documentation for incoming opportunities.

  • Maintain records, distribute agendas, and support reporting to governing bodies as required.

  • Prepare presentations, compile materials, and assist with PowerPoint or other reporting tools.

  • Serve as a liaison with other units to align SharePoint sites and improve usability.

  • Perform additional administrative duties as assigned.

Requirements:

  • High school diploma or GED required; Associate’s degree in Business Administration, Office Management, or related field preferred.

  • Minimum of 1 year of clerical, administrative support, or office coordination experience.

  • Proficiency in Microsoft Office 365 (Word, Excel, Outlook, PowerPoint, Teams).

  • Experience or willingness to learn SharePoint.

Preferred Qualifications:

  • Experience with Agenda Management System (Hyland), Advantage Financial, OnBase, and Business Objects.

  • Experience with Microsoft Planner.

  • Prior experience in a government or public health environment.

  • At least 2 years of clerical, administrative support, or office coordination experience.
