Job Title: Medical Office Assistant
 Location: New York, NY 10176
 Duration: 3+ Months (Possible Extension)
 Shift: Monday–Friday | 8 AM – 4 PM, 9 AM – 5 PM, or 10 AM – 6 PM
We are seeking a skilled Medical Office Assistant to provide both clinical and administrative support within a healthcare setting. The ideal candidate will assist physicians and surgeons in delivering high-quality patient care while ensuring smooth and efficient office operations.
Assist with direct patient care including venipuncture, EKGs, preparing patients for exams or procedures, and ensuring patient comfort and safety.
Support physicians during procedures by setting up equipment, taking vital signs, and providing clear instructions to patients and families.
Coordinate patient flow by organizing schedules, exam rooms, and appointments for optimal efficiency.
Manage clinical documentation, including medical records, lab results, and referral notes, ensuring all files are accurate and up to date.
Utilize the Electronic Medical Record (EMR) system to enter orders, update patient information, and process prescription refill requests.
Maintain and restock medical supplies, ensuring proper inventory levels for daily operations.
Prepare and maintain exam rooms following infection control and safety protocols.
Monitor and document equipment and medication logs (refrigeration, sterilization, crash carts, and point-of-care testing) to meet compliance standards.
Check for and safely dispose of expired medications and supplies in accordance with policy.
Promote a safe work environment by following all health and safety regulations, infection control guidelines, and PPE protocols.
Maintain organized medical charts and patient documentation.
Coordinate surgical and procedural scheduling, ensuring all pre-admission, consent, and preparation steps are completed.
Perform phlebotomy duties accurately, ensuring proper labeling and sample handling.
Support front office functions, including scheduling, registration, and insurance verification.
Verify insurance coverage and authorizations through internal systems or web-based tools.
Provide excellent patient service by maintaining professional communication, timely updates, and courteous interactions.
Perform additional administrative and clinical tasks as needed to support smooth office operations.
Minimum 3 years of experience as a medical assistant.
Relevant experience in medical office or phlebotomy settings preferred.
Certified Medical Assistant (CMA) from an accredited program.
Basic proficiency in MS Office Suite (Word, Excel, Outlook).
Strong communication and interpersonal skills.
High School Diploma or GED required.
