Overview
We are looking for an experienced Payroll Assistant to support payroll functions for a large employee population. This position plays a key role in processing payroll on a bi-weekly basis, ensuring accuracy, compliance, and timely delivery. The specialist will work closely with HR, Finance, and employees to address payroll inquiries and maintain confidentiality of sensitive data.
Responsibilities
Process payroll adjustments, exceptions, and timekeeping data using payroll systems.
Audit payroll reports and employee records to verify accuracy and compliance.
Maintain payroll records and support document retention requirements.
Ensure compliance with labor laws, contracts, and organizational policies.
Respond to payroll-related questions from staff and management.
Reconcile payroll deductions, prepare third-party payments, and review GL postings.
Coordinate with benefits and external vendors for FMLA, PFML, STD, LTD, Workers’ Compensation, and supplemental pay.
Research and resolve payroll discrepancies, obtaining approvals when needed.
Perform additional payroll duties as assigned.
Minimum Requirements
3+ years of hands-on payroll processing experience with payroll systems.
Ability to work Monday–Friday, with flexibility for overtime, weekends, and holidays.
Associate’s degree or 2-year certification in accounting/related field may substitute for 1.5 years’ experience.
Equivalent education and experience combinations accepted.
Knowledge & Skills
Solid knowledge of payroll procedures and accounting principles.
Familiarity with labor law requirements (FMLA, FLSA).
Strong Microsoft Office skills (Excel, Word, Outlook).
Excellent attention to detail, organizational skills, and ability to meet deadlines.
Effective communication skills with staff at all levels.
Ability to work in a diverse, collaborative environment.
Preferred Qualifications
Prior use of PeopleSoft, UKG, or Trapeze.
Payroll experience in unionized, government, or transit sector environments.
