Job Title: Project Coordinator

Position Summary:

A leading state agency is seeking a Project Coordinator to support the successful implementation of a unified Salesforce-based Licensing, Permitting, and Inspection (LPI) system. This high-priority initiative aims to streamline operations and deliver an enhanced digital experience for stakeholders.

The Project Coordinator will play a key role in supporting all phases of the project lifecycle—leveraging agile methodologies, managing cross-functional collaboration, and ensuring timely delivery of project milestones. This role demands strong organizational, communication, and documentation skills, and the ability to coordinate among internal teams, external partners, and vendors.

Key Responsibilities:

  • Coordinate project activities across internal departments, vendor teams, and partner agencies.

  • Facilitate scheduling, preparation, documentation, and follow-up for meetings, ensuring clear ownership and accountability.

  • Partner with senior leadership and project leads to ensure project alignment with strategic goals.

  • Create and manage core project documentation including charters, status reports, checklists, and dependency diagrams.

  • Maintain project artifacts and trackers within SharePoint, ensuring proper permissions and accessibility.

  • Support preparation of regular status reports and executive-level communication materials.

  • Oversee access and license management across platforms such as Microsoft Office, JIRA, and Copado.

  • Track completion of required cybersecurity trainings and tool access for all project participants.

  • Assist with scheduling, cross-team coordination, and administrative support.

  • Support testing, training, and data migration activities in collaboration with technical and business teams.

  • Maintain and monitor JIRA tickets, sprint backlogs, and issue resolutions throughout the agile delivery process.

  • Track project risks, dependencies, and deliverables to ensure alignment with milestones.

  • Act as a liaison across agencies and vendor teams, capturing and managing feedback, tasks, and action items.

  • Contribute to change management efforts through clear communication and planning.

Qualifications:

  • 2–5 years of experience supporting complex IT projects, preferably in the public sector or multi-vendor environments.

  • Proven experience in coordinating teams and driving accountability through structured follow-ups.

  • Familiarity with Salesforce or other large-scale cloud platform implementations.

  • Advanced proficiency with Microsoft Office 365 tools (Excel, Word, PowerPoint, Teams, SharePoint, Project); Power BI is a plus.

  • Working knowledge of Jira or similar agile project management tools.

  • Strong problem-solving skills and ability to perform root cause analysis.

  • Experience managing budgets and tracking key performance indicators (KPIs).

  • Excellent communication and stakeholder engagement skills.
