Job Title: Administrative Assistant
Location: Miami, FL (Onsite)
Duration: 3 Months
Schedule: Monday – Thursday, 7:00 a.m. – 6:00 p.m. (Fridays off)
Job Overview:
We are seeking an organized and detail-oriented Administrative Assistant to support a city Planning and Zoning Department. This role involves customer service, permit processing, and administrative tasks. The ideal candidate will be professional, reliable, and able to communicate clearly with the public and internal teams.
Key Responsibilities:
Assist residents, contractors, and staff via phone, email, and in-person
Explain zoning and permit application procedures
Help applicants use the electronic permitting system (EnerGov)
Review and prepare e-permit applications for accuracy and completeness
Verify contractor credentials and property information
Process invoices, payments, and track permit statuses
Coordinate inspections, plan reviews, and revisions
Maintain records, documents, and department databases
Support department leadership with administrative tasks
Required Qualifications:
High school diploma or GED (Associate degree preferred)
2+ years of experience in permitting, construction, or administrative office work
Strong knowledge of Microsoft Office and Adobe tools
Excellent communication and customer service skills
Ability to multitask and work independently
Preferred Qualifications:
Experience with EnerGov or similar permitting software
Bilingual in English and Spanish
Experience working in a government or municipal office
