Job Summary

We are seeking an experienced Leave of Absence (LOA) Administrator to manage the full leave administration lifecycle and support employee time-off programs. This role serves as the primary point of contact for leave-related inquiries and works closely with HR, managers, third-party vendors, and HRIS teams to ensure accurate leave administration, compliance, and employee support.

The ideal candidate will have strong knowledge of leave laws, HR systems, time-off programs, and employee accommodations, along with excellent communication and organizational skills.

Key Responsibilities

Leave Administration & Employee Support

  • Manage the full leave administration process from initial request through return-to-work.
  • Serve as the primary contact for all leave of absence requests via phone, email, HR cases, and service tickets.
  • Coordinate and administer:
    • Family and Medical Leave (FMLA)
    • Personal leave
    • Military leave
    • State and local leave programs
    • ADA accommodations
    • Caregiver leave programs
  • Partner with third-party leave administrators to monitor leave status, disability calculations, discrepancies, and issue resolution.
  • Coordinate intermittent and reduced-schedule leave requests with managers and HR Business Partners.
  • Identify accommodation opportunities under ADA and related regulations.
  • Coordinate employee use of PTO, mandated paid leave, and other paid time-off programs.
  • Partner with Employee Health & Safety to ensure Workers’ Compensation records and pay information remain accurate.

Time-Off Policy & Program Management

  • Review, interpret, and support implementation of new and updated time-off policies.
  • Create and maintain:
    • Standard Operating Procedures (SOPs)
    • Process documentation
    • Employee-facing knowledge resources
  • Support administration of:
    • Flexible Time Off (FTO)
    • Vacation programs
    • Volunteer Time Off
    • Paid Safe & Sick Leave
  • Provide Tier 2 support for time-off and absence-related inquiries.

HRIS, Compliance & Data Integrity

  • Maintain accurate employee records within HR systems.
  • Partner with HRIS teams and vendors to ensure:
    • Leave plans are configured correctly
    • System integrations function properly
    • Policy updates are tested and implemented
  • Support HRIS initiatives including:
    • Mergers & acquisitions onboarding
    • System harmonization
    • Policy alignment
  • Ensure compliance with federal, state, and local leave laws.
  • Participate in leave and time-off audits to ensure documentation and payroll accuracy.
  • Maintain strict confidentiality of employee medical records and sensitive HR information.

Required Qualifications

  • Experience managing leave of absence programs and employee accommodations.
  • Strong understanding of:
    • FMLA
    • ADA
    • State and local leave laws
    • Workers’ Compensation coordination
  • Experience working with HRIS platforms and leave administration systems.
  • Ability to manage multiple leave cases simultaneously with high accuracy.
  • Strong communication, organizational, and problem-solving skills.
  • Experience partnering with third-party leave vendors.
  • Proficiency in Microsoft Office applications and HR systems.

Preferred Qualifications

  • Experience with Workday HRIS.
  • Experience supporting global HR operations or multi-state leave programs.
  • Knowledge of payroll and disability coordination processes.
  • Experience creating SOPs, process documentation, and policy resources.
