Job Overview:

We are seeking a detail-oriented Junior Administrative Assistant to support a government-led annual statistics submission process. This role will serve as a key point of contact for external stakeholders, ensuring accurate communication, timely follow-ups, and efficient coordination throughout the reporting cycle.


Key Responsibilities:

Client & Inquiry Management:

  • Respond to email inquiries in a professional and timely manner
  • Provide guidance on submission requirements, timelines, and basic technical support
  • Escalate complex issues to appropriate internal teams

Contact & Account Administration:

  • Maintain and update organizational and contact information
  • Manage user accounts, including adding, modifying, and deactivating access
  • Assist with password resets and login-related issues

Tracking, Reporting & Data Management:

  • Generate completion statistics and summary reports
  • Provide status updates to internal stakeholders and leadership
  • Track updates such as new entities, name changes, and removals
  • Ensure accurate data entry and record maintenance across systems

Process Support & Quality Assurance:

  • Maintain spreadsheets, trackers, and documentation
  • Review submissions for completeness and accuracy
  • Follow up on missing or incomplete information

Required Skills & Qualifications:

  • Strong attention to detail and organizational skills
  • Excellent written and verbal communication abilities
  • Ability to manage multiple tasks and meet deadlines
  • Proficiency in Microsoft Office (Excel, Outlook, Word)
  • Customer service-oriented mindset

Preferred Qualifications:

  • Previous administrative or clerical experience
  • Experience working with data tracking or reporting processes
  • Familiarity with government or public sector environments
