Job Summary

A public sector organization is seeking a Temporary Administrative Coordinator to provide frontline support for an annual statistics submission process. This role serves as a key point of contact for stakeholders, ensuring accurate data collection, timely follow-ups, and reliable reporting throughout the submission cycle.


Key Responsibilities

Client & Inquiry Management

  • Monitor and respond to email inquiries in a timely and professional manner
  • Provide guidance on submission requirements, timelines, and system-related questions
  • Escalate complex or unresolved issues to appropriate internal teams

Contact & Account Administration

  • Maintain and update organizational and contact information
  • Manage user accounts, including adding, modifying, or deactivating access
  • Assist with password resets and basic system access support

Tracking, Reporting & Data Management

  • Generate completion statistics and summary reports
  • Provide status updates to stakeholders and leadership
  • Track changes such as new organizations, updates, or removals
  • Ensure accuracy of data across systems, trackers, and documentation

Process Support & Quality Assurance

  • Maintain spreadsheets, trackers, and supporting documentation
  • Review submissions for completeness and accuracy
  • Follow up with stakeholders regarding missing or incomplete information

Required Qualifications

  • Experience in administrative support, data coordination, or reporting roles
  • Strong attention to detail and organizational skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple tasks and meet deadlines
  • Proficiency with spreadsheets and data tracking tools

Preferred Qualifications

  • Experience in public sector or reporting environments
  • Familiarity with data management systems and reporting processes
