Job Title: Scheduler (Interview Coordinator)
Location: Bolingbrook, IL (Hybrid – 6 days/month onsite)
Duration: 6+ Months (Potential for extension)
Shift: 8:00 AM – 5:00 PM (Central Time)


Position Overview

We are seeking a highly organized and service-oriented Interview Coordinator to support a corporate recruiting team. This role is responsible for managing interview logistics, ensuring a seamless and positive experience for candidates, hiring managers, and internal stakeholders in a fast-paced environment.


Key Responsibilities

  • Coordinate and schedule interviews across multiple functions, levels, and time zones (primarily via Microsoft Teams)
  • Partner with recruiters, hiring managers, and HR partners to align on interview plans and logistics
  • Manage high-volume scheduling with accuracy, efficiency, and attention to detail
  • Serve as the primary point of contact for candidates throughout the interview process
  • Prepare and distribute interview confirmations, agendas, and related materials
  • Maintain accurate candidate and interview data within the applicant tracking system (iCIMS)
  • Troubleshoot scheduling conflicts and proactively resolve issues
  • Coordinate panel interviews and support debrief sessions
  • Ensure compliance with internal processes and data accuracy standards
  • Identify opportunities to improve scheduling workflows and enhance candidate experience

Qualifications

  • 1–3+ years of experience in recruiting coordination, scheduling, HR support, or administrative roles
  • Experience working in a fast-paced, high-volume environment
  • Strong organizational skills with exceptional attention to detail
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities and adapt to changing needs
  • High level of professionalism and customer service orientation

Preferred Skills

  • Experience with applicant tracking systems (e.g., iCIMS)
  • Proficiency in Microsoft Outlook and Microsoft Teams
