Job Title: Payroll Coordinator

Location: Everett, WA 98204
Duration: 4 Months (Contract)

Position Summary:

We are seeking an experienced and detail-oriented Payroll Coordinator to support bi-weekly payroll operations for a large workforce. The ideal candidate will manage payroll and timekeeping data entry, ensure accuracy and compliance, reconcile reports, and provide excellent employee support regarding payroll-related inquiries. This role requires precision, confidentiality, and the ability to meet strict deadlines in a fast-paced environment.

This position is eligible for overtime pay and may include additional compensation for holiday work.

Key Responsibilities:

  • Enter and validate payroll exception data; research and resolve discrepancies, ensuring complete documentation.

  • Maintain and archive payroll records per established retention protocols.

  • Enter and verify timekeeping data to ensure compliance with labor laws, policies, and contracts.

  • Respond promptly to payroll inquiries from employees, supervisors, and external organizations.

  • Reconcile payroll deductions, assist with payments to third parties, and review general ledger balances.

  • Process and reconcile leave-related pay, including FMLA, disability, workers’ compensation, and donated leave.

  • Investigate and validate questionable payroll items, ensuring necessary approvals and documentation.

  • Perform additional related duties as required.

Minimum Qualifications:

  • Experience: Minimum 3 years of payroll processing experience.

  • Education: Associate degree or technical certification in Accounting or related field may substitute for 1.5 years of experience.

  • Equivalent combinations of education and experience will be considered.

  • Availability: Ability to work Monday–Friday, with flexibility for extended hours, weekends, or holidays during payroll cycles.

Knowledge and Skills:

Knowledge of:

  • Payroll systems and general accounting principles.

  • Payroll regulations, including FMLA and FLSA compliance.

Skills in:

  • Using automated payroll software effectively.

  • Advanced Microsoft Office skills (Excel, Word, Outlook).

  • Managing multiple priorities and meeting tight deadlines.

  • Delivering excellent customer service and communication.

  • Performing accurate calculations and maintaining meticulous attention to detail.

  • Typing and 10-key proficiency.

Preferred Qualifications:

  • Experience using PeopleSoft, Trapeze, or UKG (Ultimate Kronos Group) software.

  • Previous experience in public sector, unionized, or transit industry payroll environments.

Working Conditions:

  • Work Model: Hybrid schedule may be available depending on business needs.

  • Environment: Primarily office-based using standard office equipment.

  • May require travel between office sites and occasional lifting (up to 10 lbs).

  • Some tasks may occur in moderately noisy settings.
