Job Purpose
The Payroll Associate will support payroll processing for a large employee base, ensuring accurate pay and compliance with organizational policies and labor laws. This position requires attention to detail, accuracy in data entry, and excellent customer service skills when handling employee payroll concerns.
Essential Functions
Enter and update payroll data, including exceptions and corrections.
Review payroll transactions, reports, and records for accuracy.
Maintain payroll documentation and ensure retention standards are met.
Manage timekeeping entries for compliance with laws and contracts.
Address payroll-related questions from employees and supervisors.
Reconcile deductions, prepare payments to vendors, and support ledger review.
Partner with HR and benefits teams to process leave-related payroll (FMLA, PFML, disability, workers’ compensation, etc.).
Research payroll discrepancies, validate differences, and secure approvals.
Perform additional payroll duties as required.
Qualifications
Minimum of 3 years’ payroll processing experience.
Proficiency with payroll systems and Microsoft Office Suite.
Flexibility to work extended hours, weekends, or holidays as needed.
Associate’s degree or related certification may substitute for 1.5 years of experience.
Equivalent education/experience combinations accepted.
Knowledge & Abilities
Strong understanding of payroll and accounting processes.
Knowledge of FMLA, FLSA, and related payroll laws.
Advanced Excel skills and ability to perform accurate calculations.
Strong organizational, problem-solving, and communication abilities.
Ability to collaborate with colleagues across all organizational levels.
Preferred Skills
Experience with payroll systems such as PeopleSoft, Trapeze, or UKG.
Payroll experience in government, transit, or union settings.
