Job Summary

We are seeking a detail-oriented Payroll Coordinator to support payroll operations for a large workforce. The Payroll Coordinator will be responsible for processing bi-weekly payroll, entering exception and timesheet data, reconciling payroll, and addressing employee inquiries. This role involves handling sensitive information with confidentiality, accuracy, and compliance. The position is eligible for overtime and offers additional pay for working on holidays.

Key Responsibilities

  • Enter payroll exception data into payroll systems; research and correct discrepancies, and ensure accurate documentation.
  • Review payroll entries, reports, and records for accuracy and completeness; calculate payroll and reconcile to supporting documentation.
  • Follow records retention protocols and maintain an annual archive of payroll records.
  • Enter and validate timekeeping data for compliance with labor laws, contracts, and policies.
  • Research and respond to payroll-related inquiries from employees, supervisors, and external organizations.
  • Reconcile payroll deduction reports, prepare payments to third parties, and review general ledger balances (with oversight).
  • Process FMLA, PFML, STD, LTD, Workers’ Compensation leave, supplemental pay, and donated sick leave hours in collaboration with benefits teams and third-party providers.
  • Research questionable payroll items, validate variances, and obtain necessary approvals.
  • Perform other related payroll duties as assigned.

Minimum Qualifications

  • 3+ years of payroll processing experience with payroll software systems.
  • Ability to work Monday–Friday as a regular schedule, with flexibility for extended hours, weekends, and holidays to meet strict payroll deadlines.
  • Associate’s degree or 2-year technical certification in accounting or related field may substitute for 1.5 years of experience.
  • Equivalent combinations of education and experience will be considered.

Knowledge & Skills

Required Knowledge:

  • Payroll processing and general accounting principles.
  • Payroll-related labor laws (FMLA, FLSA).

Required Skills:

  • Proficiency with automated payroll systems.
  • Advanced Microsoft Office skills (Excel, Outlook, Word).
  • Strong organizational and multitasking ability with strict deadline management.
  • Effective communication skills (written and oral).
  • Attention to detail with accurate mathematical calculation ability.
  • Professionalism and ability to work with all levels of staff.

Preferred Skills:

  • Experience with PeopleSoft, Trapeze, or UKG.
  • Payroll experience in the transit industry, public sector, or unionized environment.

Working Conditions

  • Office-based environment; use of standard office equipment and technology required.
  • May involve moving between multiple office locations and occasional work in noisy environments.
  • May need to lift/carry up to 10 pounds occasionally.
  • Hybrid telework may be available at management discretion.
