Job Title: Healthcare Technology Project Coordinator

We are seeking a highly organized and detail-oriented Healthcare Technology Project Coordinator to support the Chief Information Office (CIO) in a dynamic and fast-paced healthcare IT environment. This role requires a proactive individual with exceptional administrative, communication, and project coordination skills. The coordinator will play a vital role in managing executive-level priorities, supporting IT initiatives, and ensuring efficient daily operations.
Coordinate and track projects and ad hoc initiatives, ensuring alignment with priorities and deadlines
Collect, analyze, and summarize data into dashboards, charts, and reports for leadership review
Plan and facilitate monthly IT leadership meetings, including agenda creation, presentation materials, and follow-up documentation
Provide calendar and scheduling support to the CIO, including backup support when needed
Document meeting minutes and action items; maintain organized records of all meetings and tasks
Support logistics for on-site and off-site executive meetings, events, and activities
Act as liaison for facility-related issues and safety concerns in the Quincy office
Oversee office supply inventory and coordinate procurement processes
Prepare and track H1B support letters; collaborate with internal legal teams on documentation
Assist with policy updates, internal communications, and onboarding coordination
Foster a professional office environment and support internal team culture
Provide responsive general administrative assistance and live support for virtual or in-person meetings
Complete other administrative and coordination tasks as assigned
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Access, Visio)
Strong verbal and written communication skills
Ability to handle confidential information with discretion and professionalism
Demonstrated ability to manage priorities and work independently in a high-demand environment
Experience in preparing visual reports such as charts, graphs, and pivot tables
Familiarity with IT processes or healthcare technology is a plus
Excellent time management, organization, and planning capabilities
Flexible, adaptable, and proactive team player with a solutions-focused mindset
Bachelor’s degree in Business Administration, Project Management, or a related field
Equivalent experience may be considered in lieu of formal education
