Job Title: Medical Administrative Assistant
Location: New York, NY 10029
Schedule: Monday – Friday, 9:00 AM – 5:00 PM (37.5 hours per week)

Job Summary:

Seeking an experienced Medical Administrative Assistant to provide both secretarial and clinical support in a pediatric office setting. The role involves managing administrative tasks, assisting with patient care coordination, and ensuring efficient office operations.

Key Responsibilities:

  • Schedule patient appointments and coordinate office flow.

  • Handle clinical phone messages and relay information to physicians or healthcare providers.

  • Obtain insurance authorizations for procedures and tests.

  • Enter orders into the electronic medical record (EMR) system and prepare prescription refill requests for physician approval.

  • Maintain patient records, test result logs, and medical charts.

  • Schedule surgeries/procedures and prepare pre-admission and consent forms as needed.

  • Perform Medical Assistant duties (if certified), including EKGs, venipuncture, specimen collection, and assisting patients with mobility.

  • Assist physicians with procedures and patient education.

  • Prepare and manage physician correspondence and surgical billing documentation.

  • Ensure compliance with HIPAA regulations and maintain patient confidentiality.

  • Support revenue cycle processes and administrative workflow.

Qualifications & Requirements:

  • 3+ years of relevant experience in a pediatric office setting (required).

  • Certified Medical Assistant (CMA) certification (required if performing clinical duties).

  • Strong understanding of medical terminology and HIPAA guidelines.

  • Proficiency in electronic medical records (EMR) systems preferred.

  • Excellent communication, time management, and organizational skills.

  • Ability to work effectively in a team-oriented environment and adapt to changing workflows.

Education & Certifications:

  • Associate’s Degree or High School Diploma/GED plus two years of related experience.

  • Graduate of a Medical Assistant Program (if performing clinical duties).

  • BLS (CPR) Certification (required).
