Job Summary:

  • The Medical Receptionist will provide reception and clerical services to patients and visitors at a busy Thoracic Surgery Practice. Under the supervision of the Practice Manager and physicians, the role involves managing appointments, patient check-in and check-out, billing, collections, and general administrative duties. The position requires travel within a 30-minute radius and floating to various locations when needed.

Job Responsibilities:

  • Receive and direct all communication promptly and courteously, ensuring compliance with HIPAA guidelines and office policies.
  • Greet patients and visitors with a welcoming attitude, assist with check-in, verify insurance, and collect copayments.
  • Support financial responsibilities by staying current with billing procedures, verifying information on the Audit Journal, preparing deposits, and managing charge and payment posting.
  • Monitor office supply inventory, notify Practice Manager when supplies are low, and order necessary materials.
  • Maintain an efficient and accurate filing system, assemble new patient folders, and retrieve and return records according to protocols.
  • Ensure an accurate and timely patient check-out, including reviewing charge slips, posting payments, collecting balances, and scheduling future appointments.
  • Promote patient satisfaction through friendly interactions and promptly addressing concerns.
  • Be willing to work additional hours as needed to maintain coverage and manage time effectively to avoid unauthorized overtime.
  • Serve as a pre-loader for the practice's EMR system.
  • Perform any other clerical or administrative duties as assigned by management.

Experience:

  • Ability to learn quickly and adapt to changing patient needs.
  • Strong teamwork, accountability, and a commitment to providing high-quality care.
  • Excellent communication and customer service skills.
  • Ability to travel within 30 minutes of home and float to various locations.
  • 1 year of prior experience as a receptionist or in a clerical role, preferably in a medical office.

Experience:

  • Experience working in a surgical or oncology setting.
  • Familiarity with Epic EMR system.

Required Education:

  • High school diploma or equivalent required.

Preferred Certifications & Licensure:

  • CPR certification
