Job Title: Scheduling Coordinator CWR
Location: Paramus, NJ 07652
Hours Per Week: 40
Shift: 8:30 AM - 5:00 PM (Mon-Fri)

Duration: 3 Months (Contract)

No Weekends | No Holidays | No On-Call | No Float

Job Summary:

Coordinate all aspects of tests, procedures, and surgeries under the direction of the Practice Supervisor or Manager and physician(s) in an efficient manner. Ensure that surgeries and procedures are scheduled promptly and accurately, and maintain communication with patients and staff regarding the scheduling process.

Key Responsibilities:

  • Schedule procedures in a polite and helpful manner, ensuring that all guidelines of each facility are followed.
  • Order proper equipment for surgeries and verify patient demographics.
  • Contact insurance companies to verify coverage, obtain pre-certifications, and log patient insurance information.
  • Coordinate procedure appointments with the physician's calendar and make adjustments as necessary.
  • Communicate surgery and pre-procedure instructions to patients.
  • Arrange for co-surgeons, assistants, and coordinate with other departments (e.g., lab, nuclear medicine) as needed.
  • Ensure that pre-operative documentation is complete, including surgical consents, history and physicals, and physician orders, and distribute to appropriate departments.
  • Schedule pre-surgery appointments, obtain medical clearances, and coordinate pre-admission testing with relevant departments.
  • Maintain block time guidelines at hospitals and ensure postoperative care is scheduled.
  • Obtain surgical billing information, work with coding departments to apply proper codes, and reconcile surgical charges.
  • Track all procedures, including completed and pending cases, surgical testing, and pathology results.
  • Provide excellent customer service and promote a high level of patient satisfaction.
  • Adapt work schedule as necessary to meet practice needs and ensure adequate coverage.
  • Attend surgical service meetings at hospitals and adhere to organizational standards and competencies.

Required Skills & Experience:

  • Two years of related experience.
  • Strong interpersonal and communication skills.
  • Ability to adapt quickly in a changing environment.

Preferred Skills & Experience:

  • Two years of experience in a medical office setting.
  • Proficient in medical terminology and HIPAA guidelines.
  • Knowledge of surgical coding (CPT and ICD-10).

Education:

  • Required: High School diploma or equivalent (GED).
  • Preferred: None specified.

Language Skills: English: Speak, Read, Write

Additional Details: Responsible for coordinating surgical cases for surgeons at multiple facilities.
