Hours:

  • Hours Per Week: 40.00
  • Hours Per Day: 8.00
  • Days Per Week: 5.00
  • Schedule: 8:30 AM - 5:00 PM, Monday - Friday
  • No Weekends, No Holidays, No On-Call

Job Summary:

The Medical Receptionist provides reception and clerical services under the supervision of the practice manager and physician(s) for patients and visitors. This role involves tasks such as billing, collections, referrals, appointments, patient contact, and general secretarial duties. The Medical Receptionist must be willing to travel within a 30-minute radius of their home and float to various locations as needed.

Essential Duties and Responsibilities:

  1. Patient and Visitor Interaction:

    • Communication: Receive and direct all communication courteously and consistently. Adhere to HIPAA guidelines and office policies. Answer phone calls promptly and direct them to the appropriate personnel.
    • Greeting: Welcome patients and visitors in a friendly manner, making direct eye contact and creating a positive first impression.
    • Sign-In Assistance: Assist patients with the sign-in process, responding promptly to their needs and ensuring they are prepared for their appointments.
  2. Financial Responsibilities:

    • Billing and Collections: Stay abreast of reimbursement and billing procedures. Verify information on the Audit Journal, prepare bank deposits, and manage credit card batches. Sign and date completed daily cash receipts.
    • Insurance Verification: Verify insurance eligibility, ensure appropriate referrals are obtained, and collect copayments and any applicable balances.
  3. Office Management:

    • Supplies and Equipment: Monitor general office supply inventory and equipment. Work with team members to determine supply needs, notify the Practice Manager of low supplies, and initiate orders as needed.
    • Filing and Records: Maintain an efficient and accurate filing and record maintenance system. Assemble new patient folders, retrieve and return records according to protocol.
  4. Patient Check-In and Check-Out:

    • Check-In: Manage the patient check-in process, including obtaining and verifying required demographic information, collecting payments, and ensuring all necessary paperwork is completed.
    • Check-Out: Manage the patient check-out process, review charge slips, post charges and payments, collect current and past due balances, and schedule future appointments.
  5. Customer Service and Patient Satisfaction:

    • Service: Promote patient satisfaction through friendly and helpful interactions. Address potential patient satisfaction issues and communicate them to the direct manager.
    • Pre-Loader for EMR System: Serve as a pre-loader for the EMR system, ensuring accurate and timely data entry.
  6. General Administrative Duties:

    • Adapting Work Schedule: Adapt work schedule to meet the needs of the practice, work additional hours as requested, and manage time effectively to prevent unapproved overtime.
    • Additional Duties: Perform other duties and projects as assigned. Adhere to HMH Organizational competencies and standards of behavior.

    • Must be able to travel to various locations within a 30-minute radius.
  • Preferred Skills & Experience:

    • Prior receptionist or clerical experience in a medical office.
    • Experience with Epic EMR system.

Education and Certifications:

  • Required Education:

    • High School Diploma or equivalent.
  • Preferred Certifications & Licensure:

    • CPR Certification.

Languages:

  • English: Speak, Read, Write

Additional Information:

  • Travel: Must be willing to travel within 30 minutes of home and float to various locations.
  • Experience: 1-2 years of prior experience required, preferably in a high call volume medical office setting.
